Event Coordinator/Office Manager

Thank you for your interest. This year-round, part-time, staff position has been filled.

We present world-class musicians in the beautiful, natural setting of the Methow Valley. At this time, our Festival is experiencing rapid growth in donors, volunteers, and activities. We could really use your help!

In your new position, you will report directly to Executive Director Liz Johnson and work with other staff members and volunteers during the concert season.  You will meet and interact with internationally-renowned musicians, go to fun parties and meet people who love the Valley and fine music.

Job responsibilities

Year-round administrative operations 

Keep non-profit paperwork current and filed with the correct local, state and national agencies. Maintain the annual calendar of Festival activities. Inform other staff when items are due. Manage relationships with our radio and print advertisers. Keep the donor database current. Manage mass mailings (2-3 times per year). Record donations as they are received throughout the year. Assist with thank-you notes. We will train you to manage our Facebook, website and email marketing.

Concert Logistics

For the two dozen musicians who perform during the Summer Concert Series, you will manage musician contracts, assist with transportation, arrange housing, create welcome bags, arrange for post-concert food, and be available during the summer Festival to provide assistance as needed.  You will coordinate the off-site performances for our outreach group, the Fellowship Quartet, and travel to their performance venues scattered from Mazama and Twisp.  For the Valentine concert, you will assist with setting up the Merc Theater the morning of the concert (Feb. 18, 2017) and supervise the tear-down crew after the concert. 

This position provides a unique and exciting opportunity to learn all aspects of managing a non-profit and gain more responsibility for operations. 

Job requirements

Strong organization skills, including the ability to manage your own time while handling multiple assignments.  Excellent communiation skills. Proficiency with Office programs (Word, Excel) plus ability to learn new programs (such as our donor database).  Must be available to work on Saturday, Feb. 18 for the Valentine concert.  Must also be in town and available to work during the Summer Concert Series (July 17-August 11). 

Hours and salary

We hold five major concerts the last week in July, and one in February, but back-office work continues year-round, with hours that vary from season to season.  January to June is ramp-up time (10-20 hours per week), July and August are peak time (25-40 hours per week) and September to December are low season (10-15 hours per week).  This averages to about 2 days per week throughout the year.

Salary will depend on your skills and experience.  You will have regular performance reviews with opportunities to both give and receive feedback. 

Where will I work?

Our professional office space is located at the summer Festival grounds, 115 Signal Hill Road, halfway between Twisp and Winthrop.
